Five things Numa Health takes off your plate.

08:3001 · Diary

A diary that takes bookings and sends reminders.

See your week at a glance, book clients yourself or let them book online, and let reminders go out on their own.

  • Day, week, month and list views, with drag to move
  • Repeat bookings for regular clients
  • Online booking on the rules you set
  • Automatic reminders for bookings made at least a day ahead, and waiting-list offers when a slot frees up, once you switch them on

12:4002 · Payments

Get paid without chasing.

Invoices with your logo, card payments, deposits, and polite reminders for anything unpaid.

  • Invoices made for you when a session is done
  • Card payments from a payment link, once you’ve connected Stripe
  • Deposits and late-cancellation fees
  • Up to three automatic payment reminders

17:1003 · Notes

Notes, finished sooner.

Write your own notes from a template made for your profession, or turn a few bullet points into a draft to check and sign. Drafts are written automatically by software, can make mistakes and do not diagnose. They need your client’s consent and your sign-off.

  • Templates for counselling, CBT, physiotherapy, osteopathy, chiropractic and podiatry, or build your own
  • Body charts for marking where it hurts
  • Signed notes are locked, with any later changes added as amendments
  • Optional note drafting from your bullet points

21:4004 · Your clients

A smooth experience for your clients.

Clients book, fill in forms, sign consent, join video sessions and see their invoices, all in one place with your name on it.

  • A client portal with your logo, signed into with a one-time code
  • Intake and consent forms that go out automatically when a service is booked
  • Reminders sent for you, so your personal number stays private
  • “Client” or “patient”: your choice of word in bookings, emails and texts

22:0505 · Your website

A professional website, written for you.

Describe your practice in a few sentences and Numa Health designs and writes your website, with a Book button that goes straight to your online booking. Change it by asking, in your own words.

  • Five to eight pages, designed and written for you
  • Hours, services, prices and team taken from your settings
  • Change it in your own words, and check before it goes live
  • Use the web address you already own (coming soon)

No surprises

You decide what gets sent, and when.

For each appointment reminder, choose email, text or WhatsApp (early access), in any mix. WhatsApp needs setting up first.

Pick how far ahead each reminder goes, from a week to two hours before. Appointments booked less than 24 hours ahead don’t get automatic reminders. Your clients reply to the reminder, not to your personal phone.

Before your first real booking

  • Some appointment reminders and form-delivery settings are enabled by default, so check their wording and timing first.
  • Automatic sending has its own setting. An invoice can be made for you without being sent.
  • Overdue-invoice reminders have separate timing, and stay off until you switch them on.
  • A completed payment may need a separate refund.
  • Sent is sent: changing a setting does not retract a message or undo a payment.

A few practical questions

Do my clients have to book online?
No. You can keep booking appointments yourself. Online booking is there when you want it.
Do I have to use note drafting?
No. You can write every note yourself, from a template or a blank page. Drafting is a choice you make note by note, and only for clients who have agreed to it.
Is everything included in every plan?

Almost. Your website, diary, reminders, invoices and notes are in every paid plan. The plans differ in how many texts and emails they include, video sessions (from Stoop), dedicated numbers for client messages, and some reports.

Can I use it on my phone?
Yes. Numa Health works in your phone’s web browser, so you can check your diary between sessions. There isn’t a separate app to download.
